CEO's Guide to Managing IT Staffing Vendors

By Chirag Sharma • June 10, 2026 • 8 min read

Your IT staffing vendor is not a commodity. The quality of engineers you can access, the speed of response, and the accountability when things go wrong depend entirely on which partner you choose and how you manage the relationship. Here's the framework.

Vendor Selection: 6 Criteria That Matter

  1. Vetting rigour: What is their technical screening process? "We review CVs carefully" is not a process. A structured 4-stage vetting (coding test, system design, communication assessment, background check) is a process.
  2. Replacement guarantee: If an engineer doesn't meet your standards in the first 2–3 weeks, what happens? The answer should be "free replacement within 5–7 business days."
  3. Domain depth: Do they specialise in your stack? A staffing partner with 50 pre-vetted Java engineers is more valuable than a generalist with 500 CVs.
  4. Response time: How quickly do they shortlist? 72 hours is the gold standard. More than 1 week is a red flag.
  5. Transparency: Will they show you their vetting scorecards? Are they open about why they shortlisted each profile?
  6. Reference clients: Can they connect you with a current or past client in a similar company?

Building a Productive Partnership

The best vendor relationships are built on clear requirements, fast feedback, and mutual transparency. Give detailed briefs. Tell them when a shortlisted profile isn't right and why. The more information they have, the better subsequent shortlists become.
